How to Set Water Softener Hardness

To set water softener hardness safely, first identify the exact model and manual, then use a representative untreated-water hardness result. Match the result's unit to the unit required by the controller, apply a conversion only when necessary, and use an iron or other compensation rule only if that exact model's manual requires it. Record the previous value before entering the new one through the documented owner menu, then verify treated-water hardness and normal regeneration behavior.

Do not copy a neighbor's number, a retailer's default, or a menu sequence for a similar model. The hardness setting is a controller input. It is not a universal diagnosis of the water or proof that the softener is working.

Hardness rule: Use representative untreated hardness in the unit required by the exact controller. Apply compensation only when the model manual and suitable testing support it. Record the previous value and define the validation before entering anything new.

Confirm the model and untreated-water result

You need two traceable records before touching the control:

  1. the full manufacturer and model number, with the current manual; and
  2. a representative hardness result from water entering the softener.

The sample point must be upstream of treatment. A kitchen or bathroom tap may provide softened or blended water depending on the plumbing. Record the sample location, date, test method, reported value, and unit. For changing municipal supplies, review the utility's current report and use a representative or conservative value only as directed by the manufacturer or a qualified professional. For a private well, use appropriate water analysis rather than assuming hardness is the only treatment concern.

Read the exact on-screen field and the manual. Do not assume a bare number means grains per gallon.

Convert mg/L or ppm to gpg

For hardness expressed as mg/L as CaCO3:

gpg = mg/L ÷ 17.12

To convert the other way:

mg/L as CaCO3 = gpg × 17.12

Keep the full calculator value in your record. Round only for the controller display, and only by the rule stated in the exact manual. If a controller accepts whole grains but its documentation gives no rounding instruction, ask the manufacturer or a qualified professional rather than inventing a rule.

Worked conversion

A laboratory reports untreated hardness of 171.2 mg/L as CaCO3, and the confirmed controller expects gpg.

171.2 ÷ 17.12 = 10.0 gpg

Record all of the following:

  • original result: 171.2 mg/L as CaCO3;
  • calculation: 171.2 ÷ 17.12;
  • unrounded result: 10.0 gpg;
  • controller unit: gpg; and
  • model/manual page supporting the field.

A second example shows why premature rounding matters:

240 mg/L ÷ 17.12 = 14.018691… gpg

The calculation record can display 14.02 gpg while retaining the full internal result. It does not decide whether an integer-only controller should receive 14 or another manual-defined value.

Check manufacturer rules for iron or other compensation

Do not automatically add iron to the hardness number. First confirm:

  • a laboratory or suitable test identified the constituent and its form;
  • the result uses the unit required by the manual;
  • the exact installed model is intended to handle the stated condition;
  • the manual gives an explicit compensation rule; and
  • the rule applies to the controller field you are editing.

Iron can be present in different forms, and a hardness-only reading does not identify them. A compensation value does not mean iron physically became calcium-carbonate hardness; it changes a model's control input according to that manufacturer's instructions.

Model-specific Whirlpool WHESFC example; not a universal rule

The cited Whirlpool WHESFC manual instructs the owner of that model to add 5 grains to the hardness setting for every 1 ppm of ferrous (clear-water) iron. Its worked example uses 20 gpg hardness and 2 ppm ferrous iron:

20 + (2 × 5) = a controller hardness number of 30

This factor applies only within the conditions and procedure stated in that WHESFC manual. It is not a USGS conversion, not a site-wide “iron factor,” and not permission to apply ×5 to hardness itself. Do not apply this example to another Whirlpool model, a Pentair controller, or any other system. If your exact manual has no compensation rule, enter no invented adjustment. If well water has staining, odor, sediment, turbidity, or microbial concerns, obtain broader testing and professional treatment guidance.

2. Verify and convert

Validate treated hardness and regeneration behavior

Validation asks two different questions:

  1. Is the unit reducing hardness at the treated sample point?
  2. Does it regenerate normally for this model, configuration, and household use?

Take a verified treated-water measurement and compare it with the baseline using the same unit and a suitable method. Record the sample point and whether the test occurred immediately after regeneration, late in the service run, or at another documented point. A single result may be inconclusive if plumbing has blended lines, the sample was not flushed as the test method requires, the source water changed, or the method lacks sufficient resolution.

Also record the interval between regenerations if the controller makes it available, along with actual water use when possible. Do not declare the setting correct solely because a displayed gallon count changed. Capacity, salt dose, reserve, plumbing, brine operation, media condition, valve operation, and source-water variability may influence the result.

Avoid repeated increases to the hardness number without new evidence. If the programmed input matches the verified untreated result and the exact manual but treated hardness remains wrong, troubleshoot the system rather than using the hardness field as a universal correction knob.

When not to adjust further

Stop and seek model-specific assistance when:

  • the manufacturer, model, controller, or current manual is uncertain;
  • the result has no unit or was not expressed as total hardness on the required basis;
  • only treated-water hardness is available;
  • the sample point or test method is uncertain;
  • the manual does not explain the owner hardness field or rounding rule you need;
  • iron is suspected but its concentration or form has not been identified;
  • a proposed compensation factor came from another model;
  • changing hardness would conflict with capacity, media, salt-dose, or service settings;
  • the control requires an installer or master menu;
  • the source is a private well with unassessed water-quality concerns;
  • the softener leaks, drains continuously, stalls in a cycle, or displays an error; or
  • verified treated hardness remains wrong after normal operation.
